Intelligent Document Processing (IDP)
What is intelligent document processing
Intelligent document processing, known as IDP, is the set of techniques that turns documents such as invoices, delivery notes, contracts or purchase orders into data a system can use. It goes beyond reading the text. It identifies the type of document, finds the fields that matter, checks them against the company's rules and data, and decides whether the result can move to the next step or needs review.
The underlying idea is simple: the document is not the end of the process, it is the entry point to a decision. Useful IDP shortens the path between a document arriving and someone being able to act on it.
How an IDP workflow works
A typical AI document automation workflow has several stages:
- Capture. The document arrives by email, portal, scanner, folder or API, and its source, date and status are recorded.
- Classification. The system tells an invoice from a credit note, a contract or a purchase order, because each one follows different rules.
- Extraction. OCR turns the image into text, and document models interpret the position of each value to tell whether it is a total, a tax base or a line amount.
- Validation. The data is checked against suppliers, purchase orders, calculations and possible duplicates.
- Exceptions and integration. What matches goes to the ERP or target system; what doesn't goes to a queue with an owner and a reason.
Each extracted value should keep its evidence: the page or area it came from, the confidence level and any human correction. That makes fast review possible and auditing easier later.
IDP vs OCR
OCR is one part of IDP, not a synonym. OCR turns an image or a scan into text. It can read "1,250.00", but it doesn't know whether that figure is the total or a subtotal, or whether the invoice was already recorded. IDP adds structure, context and validation. That is why asking for "OCR" when what you need is to automate a document process often leads to incomplete results.
A concrete example
An accounts payable team receives PDF invoices from many suppliers, some of them scanned. With IDP, each invoice is classified, the supplier, number, date, taxes and lines are extracted, and the system checks that the supplier exists, the amounts add up and the invoice is not a duplicate. If everything is correct, a draft is created in the ERP. If the purchase order is missing or the amount exceeds the tolerance, the invoice goes to review with the original document and the reason already attached.
Rules and AI, together
Rules are transparent and work well for clear validations. AI adds more value with variable formats, where a fixed template fails. Combined, they are more reliable than either one alone. Sensitive decisions, such as approving a payment or changing supplier details, keep human review.
IDP at DPI Systems
At DPI Systems we design document management solutions connected to the systems a company already uses: capture, classification, extraction, validation, routing, integration and audit. We start from the process, not from a tool, and validate with real documents before scaling.
